In Desk-Net, you can assign users to individual groups and control access rights based on these groups.
The group function offers you the possibility to grant different access rights to different departments, sections and other groups. We usually recommend the use of more than one group starting from approx. 25 users upwards.
CAUTION: There must always be at least one group in the account, so do not remove the default group but rename it if necessary.
As a Desk-Net administrator you can find the group settings under "Settings > Groups".
What are groups for?
Restrict access to specific platforms and categories:
You have two (or more) different titles/groups that plan autonomously from each other, publish on different platforms or sections and should not be able to see each other's content?
These restrictions are managed by groups.
Example:
Group A has access to platform A and to categories 1, 2 and 5 of platform C.
Group B has access to platform B and to categories 3, 4 and 6 of platform C.
Group X has access to platform A, platform B and platform C.
Display stories on Story List according their group association
Let's take the groups and platforms from our former example:
Both group B and group X have access to platform B.
Both groups can therefore create content for platform B.
If you now disyplay the content for platform B on the Story List you can set the group filter. By filtering for group B, for example, only the content planned by group B for platform B would show.
Create specific shifts:
When creating different shifts, you can specify for which group a shift should apply. This way you can make sure that each group will only see the shifts that are relevant to them.
Learn more about shift planning in step 7 of the setup.
Provide saved views and notes for specific groups:
A central feature of Desk-Net are Saved Views. These allow to save a page view with individually set filters and sorting as a bookmark and to share this view with the own group if desired. Administrators with access to all groups can thus create and save their relevant views for each group. The same applies to notes, which can be shared with individual groups in exactly the same way as saved views.
Group-specific calendar:
Events can be viewed and filtered by group association on the calendar pages.
E-mail addresses per group:
Each group has an e-mail address and an associated inbox. The inbox function in Desk-Net offers the possibility to quickly and easily convert events and story ideas received via e-mail into an entry in Desk-Net and to save both the e-mail and the attachments of the e-mail in the Desk-Net entry.
